What Happens After a Client Funds a Milestone on ZexusPro

Funding a milestone is one of the most important moments in a ZexusPro engagement. It is the point where a Client’s commitment becomes visible and a Service Pro gains a clearer basis to begin work.

But funding is not the end of the process. It is the start of a structured workflow: agreed scope, milestone funding, delivery evidence, a 72-hour Client review, approval, and release of payment.

This article explains what happens after a Client funds a milestone, what Service Pros should submit, and why keeping the process inside ZexusPro protects both parties.

Before Funding: Agree the Milestone

Before any funds move, the Client and Service Pro should agree on the milestone inside the ZexusPro workspace.

A clear milestone should state:

  • The exact deliverable
  • The work included and excluded
  • The target completion date
  • The documents, photos, reports, or inspections required
  • The approval standard
  • The milestone amount

For example, a construction milestone should not simply say “foundation completed.” It should define the excavation, reinforcement, concrete works, inspection records, and photographic evidence required before approval.

Clear milestone conditions reduce disagreement.

To see how this applies to building projects, read How to Structure a Construction Project Into Safe, Fundable Milestones.

Step 1: The Client Funds the Milestone

When the Client funds the active milestone, both parties see confirmation in the ZexusPro workspace.

The Client pays through Paystack, a CBN-licensed payment provider. Under ZexusPro’s Payment Protection process, the client funds each stage before work begins, so the Service Pro can mobilize knowing the money for that defined stage is already committed.

Instead of sending a large unprotected lump sum, the Client funds a specific, defined stage of work.

Step 2: The Service Pro Mobilizes

After milestone funding is confirmed, the Service Pro can begin the agreed work.

At this stage, the Pro should:

  • Confirm the scope and deliverables in the workspace
  • Review all attached drawings, specifications, or instructions
  • Begin work within the agreed timeline
  • Keep the Client updated through the engagement thread
  • Raise any scope question before carrying out additional work

If either party needs to change the scope, the change should be documented in the workspace before extra materials are purchased or additional work is executed.

Step 3: The Service Pro Submits Evidence

When the milestone is complete, the Service Pro uploads evidence to the engagement thread.

The required evidence depends on the type of engagement. It may include:

  • Site photographs
  • Delivery receipts
  • Inspection sheets
  • Test results
  • Technical reports
  • Survey records
  • Diagnostic reports
  • Installation records
  • Completion certificates
  • Signed handover documents

The evidence should match the milestone requirements agreed before funding. A milestone submission should identify the completed work, attach the required records, and allow the Client to review the claim against the agreed conditions.

Step 4: The Client Reviews the Evidence

The Client has 72 hours from delivery to review the work. Within that time, the Client can approve the milestone, request an agreed revision, or raise a dispute.

The Client should check:

  • Whether the agreed deliverable was completed
  • Whether the submitted evidence matches the milestone scope
  • Whether photos, reports, or test records are clear and complete
  • Whether any agreed variation was documented
  • Whether any part of the milestone remains outstanding

If the evidence is complete and meets the agreed standard, the Client approves the milestone.

If something is missing, the Client can request an agreed revision. The Service Pro can then submit the missing records or complete the outstanding work.

If an issue cannot be resolved directly, either side can raise a dispute on the platform. ZexusPro reviews the agreed terms, records and evidence and decides the outcome of the disputed milestone. A dispute pauses release of that milestone only. Milestones already released are not affected.

Step 5: Approval Releases Payment

Once the Client approves the milestone, payment is released to the Service Pro straight away.

If the Client Does Not Respond

If the Client does not respond within 72 hours, the job is marked complete and a 7-day protection window opens. During that window, either side can still raise a dispute. If no dispute is raised, payment is released to the Service Pro automatically.

The longest this takes is 10 days from delivery.

The workspace keeps a record of:

  • The agreed milestone
  • The funding confirmation
  • The evidence submitted
  • The Client’s review
  • The approval decision
  • The payment release confirmation
  • Any revision request or dispute, and its outcome

This creates an auditable engagement record. It helps both parties see what was agreed, what was delivered, what was reviewed, and when approval was given.

What Service Pros Should Do

To receive timely milestone approval, Service Pros should:

  • Read the milestone scope before starting work
  • Confirm any unclear requirement before mobilizing
  • Submit evidence that matches the agreed milestone
  • Use clear, well-lit photographs and complete documents
  • Upload evidence directly to the ZexusPro workspace
  • Avoid moving important project communication to personal chats
  • Raise scope changes before executing additional work

A Pro who submits complete evidence makes it easier for the Client to review and approve the milestone.

What Clients Should Do

To keep the engagement moving smoothly, Clients should:

  • Define milestone deliverables before funding
  • Attach drawings, specifications, or clear instructions
  • Review submitted evidence against the agreed milestone
  • Respond to evidence submissions within the 72-hour review period
  • Document every approved variation
  • Keep communication and approvals inside the workspace

A Client should not approve a milestone simply because work appears to be ongoing. Approval should follow the agreed evidence and completion standard.

Why This Process Builds Trust

The value of milestone funding is not only getting paid. It is clarity.

The Client knows what they are funding. The Service Pro knows what they must deliver. Both parties can see the evidence behind an approval. And the workspace keeps the record in one place.

This reduces the risk of unclear expectations, scattered records, delayed payments, and disputed delivery.

Verification also strengthens this process. Before engaging, Clients can review professionals whose identity has been checked with their NIN and a live selfie check.

Key Takeaways

  • A milestone should be defined before it is funded.
  • The Service Pro must submit evidence that matches the agreed milestone.
  • The Client has 72 hours to approve, request an agreed revision, or raise a dispute.
  • If the Client does not respond, the job is marked complete and payment is released after a 7-day protection window, unless a dispute is raised.
  • Approval, evidence, and payment records remain in the ZexusPro workspace.
  • Scope changes should be documented before additional work is executed.

Start With a Clear Milestone

A strong engagement does not begin with a large unprotected transfer. It begins with a clear scope, a defined milestone, committed funds, and evidence-based approval.
